Athlete Management/Coaching: Team Administration/Operations
Coaching Programs Coordinator - USA Track & Field (Indianapolis, IN)

BASIC FUNCTION:  Provide support to a variety of Coaching Education and High Performance programs.


  • Coordinate coaching-related activities including the Level 1, Level 2 and Youth Level 2 coaching education schools and the Podium Education Project (PEP).  Duties include, but are not limited to:

               o   database and website management

               o   event planning and logistics

               o    registration

               o   distribute materials

               o   customer service

               o   main point of contact for coaching education schools and activities

               o   coordination with Coaching Education Committee

               o   review financial statements, process refunds/transfers

               o   budgeting

               o   troubleshooting

  • Provides support for the Coaches Registry.
  • Manages online coaching education program.
  • Assists with credentialing process of coaches at National Championships.
  • Administrative support to the Coaching Education and Coaches Advisory Committees.
  • Provides support to other projects and events in the High Performance Division as needed.


  • Bachelor’s degree preferred.
  • 1-2 years of relevant experience.
  • The ability to work independently and manage various projects concurrently.
  • Demonstrated ability to communicate clearly and effectively and handle conflict resolution in a professional manner.
  • Demonstrated ability to organize information and present it in a clear and concise manner.
  • Experience with Microsoft Office software, including Word, Excel and Power Point.

 PHYSICAL DEMANDS: Ability to lift and move boxes up to 30 pounds.

 NON-PHYSICAL DEMANDS:  Available for travel and working weekends several times a year

Communications: Communications Department Management
Communications Coordinator - USA Track & Field (Indianapolis, IN)


BASIC FUNCTION:  Collaboratively work with communications department and organization to maintain USATF content.


  • Works with each USATF department/program to add new content and update all areas of web site.
  • Creates and coordinates pre- and post-event coverage for National Championships and Team USA events, including posting of event information, photo galleries, video clips, and results.
  • Coordinates with volunteer segments of the organization, as well as the public, on website-related issues.
  • Ensures that all content complies with relevant policies, guidelines, and best practices.
  • Code templates and pages that align with intended design and functionality
  • Work with each USATF department/program to add new content and update all areas of the website.
  • Administer the Content Management System (CMS) for and all subsidiary websites.
  • Coordinate with volunteer segments of the organization, as well as the public, on website related issues, including content management and relevant updates.


  • 3-5 years of HTML experience.  Applicants must be technically proficient in directly editing content on HTML pages.  They must also have a strong understanding of templates and be comfortable editing master templates of large web applications.  HTML 5 experience is a plus.
  • 3-5 years of CSS experience.
  • 1-2 years of jQuery experience.
  • Applicants will be asked to embed JavaScript widgets on pages and must have a solid understanding of that process. 
  • 2-3 years experience with content management systems and experience editing content sections of existing pages, as well as creating new pages from existing templates. 
  • Preference will be given to applicant with XML experience and who also demonstrate a working knowledge of Photoshop or similar photo editing.  Applicant must be comfortable working on live applications and have a strong attention to detail. 
  • Excellent organizational and problem solving skills.
  • Strong team player and ability to work cooperatively with others.
  • Strong written and verbal skills, and the ability to work in a very fast-paced environment.
  • Occasional nights and weekends, some travel required.

Administration/General Management: Administrative/Executive Assistant
Customer Service Rep - USA Track & Field (Indianapolis, IN)

BASIC FUNCTION:  Provides customer service support to all USATF constituents on behalf of all USATF departments.  


  • Promptly, professionally, and courteously assess and direct calls and inquiries coming through the USATF reception desk.
  • Maintain accurate and up to date knowledge of all constituent needs as they relate to each department.
  • Create and maintain documentation on all processes related to each function of the position.

  • 4 year degree required.
  • 1-2 years’ professional experience, preferably in sport industry.
  •  Knowledge of Microsoft Office software, including Word, Excel and Outlook.

BASIC FUNCTION:  Assist the Entertainment Properties Department 


  • Seeking responsible individual who can assist in daily departmental administrative work; including but not limited to departmental contracts, finances, shipments and records. 
  • Assist in preparation for 2014 Annual Meeting

Legal Affairs Coordinator - USA Track & Field (Indianapolis, IN)

BASIC FUNCTION:  Assists the Legal Department in handling the day to day function of the department and assists with the tasks the department needs to complete by performing the following duties and responsibilities.


  • Support Administration of Contracts and Other Matters

           o   Track the receipt of all contracts and other documents to ensure they are all handled on a timely                         basis and are continually moving through the review process. 

           o   Handle the preparation, execution and filing of contracts, as directed.

           o   Assist with the maintenance of a contract management system.

           o   Close contract and matter files and maintain the filing system.

  • Assist the Authorized Athlete Representative Program.

           o   Organize annual Athlete Representative applications.

                §  Coordinates background screenings on prospective Athlete Representatives.

                §  Assist with obtaining payment along with each application.

                §  Track applications, seminar attendance, and exam results in connection with annual requirements.

                §  Prepare routine correspondence.

           o   Maintain Athlete Representative directory.

           o   Assists in the preparation of seminar curriculum and seminar planning logistics.

           o   Assist with creating quarterly Newsletter and e-mail blasts to Athlete Representatives.

  • Assist with the preparation of and maintenance of correspondence regarding eligibility and citizenship matters, including:

           o   athletes wishing to change allegiance;

           o   athletes requesting no-objection letters for obtaining O-1 and P-1 Visas; and

           o   athletes seeking to join clubs in other countries. 

  • Support the department’s risk management efforts by tracking claims and maintaining claim files.
  • Maintain litigation files.
  • Track department processes in order to provide constant analysis of departmental goals.
  • Complete administrative duties as assigned.


  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
  • Associate and/or Bachelor’s Degree, with 1 to 3 years experience in corporate legal training in a law firm or other corporate legal setting.
  • Proven verbal and written communication skills.
  • Knowledge of legal documents in a corporate context. 
  • Ability to read and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. 
  • Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of peers, managers, clients, customers, and the general public. 
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where standardization exits. 
  • Ability to interpret and utilize a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Should have intermediate knowledge and abilities with Microsoft Office (Word, Excel, Access, and Powerpoint).
  • Experience with contract management systems preferred.
