Administration/General Management: Administrative/Executive Assistant
Sanction Program Coordinator - USA Track & Field (Indianapolis, IN)

BASIC FUNCTION:  Administers and handles the day to day function of the USATF Event Sanction/Insurance program.


  • Review all event sanctions and event insurance requests.
  • Provide customer service support to all Sanction Chairs and event directors throughout the sanction and calendaring process.
  • Work with USATF insurance risk management team to continually improve processes and regulations, and mitigate potential risks.
  • Troubleshoot all questions on third party certificates of insurance.
  • Serve as liaison to USATF’s insurance provider regarding special event insurance.
  • Assist with ongoing development of education programs for Sanction Chairs and event directors.
  • Track and report on sanction program violations.
  • Prepare and send e-mail newsletter/tidbits with sanction updates and communications with helpful information and request feed back to the Association Sanction Coordinators
  • Serve as Sanction Chair for any Association in a transition stage.
  • Prepare year-end reports.
  • Work with High Performance department to ensure sure all national team medical personnel and visiting countries to Training Centers have the proper paperwork for insurance coverage.


  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
  • Bachelor’s degree preferred.
  • 1-2 years experience in a business or customer service environment.
  • 1+ years experience in the insurance industry or with commercial insurance preferred.
  • Proven verbal and written communication skills.
  • Should have intermediate knowledge of Microsoft Office software (Word, Excel, PowerPoint, and Access) and the ability to learn new software programs quickly.
  • Demonstrated ability to organize information and present it in a clear and concise manner.
  • Demonstrated ability to communicate clearly and effectively.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where standardization exits. 
  • Ability to interpret and utilize a variety of instructions furnished in written, oral, diagram, or schedule form.
  • High levels of self-motivation and initiative, including the ability to bear a high level of responsibility and accountability with limited supervision.
  • Strong time-management skills with the ability to work in a fast-paced environment and to balance multiple simultaneous projects and deadlines, including last minute requests, in a timely manner.
  • Ability to proof-read and catch mistakes, including grammatical errors, inconsistencies, redundancies, and sport-specific issues.

PHYSICAL DEMANDS:  Occasional lifting in connection with filing.  Sit for more than 6 hours per shift.

NON-PHYSICAL DEMANDS: Travel 2 -3 times per year (including weekend travel).
