Information Systems/Technical Services: Computer Information Systems
Director of IT - USA Track & Field (Indianapolis, IN)

BASIC FUNCTION:

The information Technology Director’s primary responsibility is to oversee the operation of the IT Department and to ensure that all work completed aligns with the business objectives of USATF. The IT Director will work closely with decision makers to identify, recommend, develop, implement, and support technology solutions for all aspects of the organization. 

DUTIES AND RESPONSIBILITIES:
 

  • Formulate and deploy long-term strategic plans for acquiring and enabling efficient and cost effective information processing and communication technologies.
  • Develop and review IT Department yearly and quad expenses and budgets to ensure they comply with stated goals, guidelines and objectives.
  • Manage and direct IT department operational and strategic planning, including business requirements, project planning and organizing and negotiation the allocation of resources.
  • Manage IT staffing, including recruitment, supervision, scheduling, development, evaluation, and disciplinary actions.
  • Collaborate with division team leaders to identify project requirements, approach, deliverables, tasks, and resources required to complete project.
  • Manage multiple projects and tasks. Project management activities include project planning and scheduling; organizing and leading meetings with IT and business team members; budget create, approval and management; resource planning and allocation; and regularly communicating with team members regarding pertinent project activities.
  • Lead and execute full Project Life Cycles (i.e. Requirements, Design, Development, Testing, Launch and Stabilization) into the Production environment.
  • Develop and implement IT policies and procedures, including those for security, disaster recovery, standards, purchasing and service provision.
  • Direct research on potential technology solutions and implementations in support of new initiatives and procurement efforts.
  • Oversee and administer vendor, outsourcer, and consultant service agreements.
  • Oversee the provision of end-user services, including technical support services.
  • Authorize and oversee the deployment, monitoring, maintenance and support of all hardware and software.
  • Review performance of IT systems and determine productivity levels and upgrade requirements.
  • Address user requests in a timely fashion and utilize change requests and current tracking procedures.
  • Develop requirements for hardware and software upgrades, review submitting bids and make       appropriate awards. 

QUALIFICATIONS:

Formal Education

  • Bachelor of Science degree in Management Information Systems (MIS) or Computer Information Science or equivalent experience

 

Knowledge & Experience

  • 7 to 10 years of experience directly managing IT, networking, and/or telecommunications projects
  • Proven experience in IT infrastructure strategic planning and development, project management, and policy development
  • Superior understanding of the organization’s goals and objectives
  • Ability to manage large and complete IT projects, involving multiple business departments and   systems.
  • Must demonstrate strong leadership, knowledge of Project Life Cycles and project management skills to successfully lead application development efforts.
  • Experience with systems design and development from business requirements analysis
  • Good understanding of technical knowledge of current network and PC operating systems, hardware, protocols, and standards
  • Knowledge of business processes, management, budgeting, and business office operations
  • Strong understanding of human resource management principles, practices and procedures.
  • In-depth knowledge of applicable laws and regulations as they relate to IT.

Communications: Communications Department Management
Marketing & Communications Manager - USA Track & Field (Indianapolis, IN)

BASIC FUNCTION:  To promote and elevate the profile of USATF through traditional, digital and social media, with an emphasis on multicultural media relevance. To leverage internal and external communications channels for advancement of the sport and its participants. 

DUTIES AND RESPONSIBILITIES:

·         Writes, edits and places press releases and stories related to all facets of USATF.

·         Proactively pitches stories, with special emphasis on multicultural media; fields media inquiries

·         Provides media services at USATF national championships and international team events as assigned. Includes pre-event promotion, roster announcements, on-site coverage and media management.

·         Assists in oversight Athlete of the Week and daily clips programs

·         Writes and maintains athlete biographies

·         Assists in production of USATF publications

·         Maintains departmental databases – email, events, biographies

·         Assists in administration of National Track & Field Hall of Fame nomination and election processes.

·         Other duties as assigned

QUALIFICATIONS:

·         1-3 years experience in communications/PR field.

·         Understanding of multicultural media landscape preferred

·         Excellent writing and speaking skills

·         Demonstrated expertise in social media platforms

·         Strong work ethic, attention to detail, organizational skills and ability to produce results in a fast-paced environment

·         Understanding of the sport of track and field or a similar Olympic sport preferred.

·         Extensive knowledge of Microsoft Office software, including Word, Excel and Access.

·         Demonstrated ability to manage a number of projects and handle large amounts of quantitative and qualitative data.

·         Bachelor’s degree in the area of journalism, marketing, public relations or related field preferred.

PHYSICAL DEMANDS:  Be able to lift 20+lbs. Able to stand for long periods of time and walk distances at events – mixed zone and on-field.

NON-PHYSICAL DEMANDS:  Weekend and evening work; national and international travel required.

Retail: Retail Merchandising
Merchandise Coordinator - USA Track & Field (Indianapolis, IN)

BASIC FUNCTION: Assist in merchandise sales, order processing at the USATF warehouse and at event locations.  Promote the USATF brand.

DUTIES AND RESPONSIBILITIES:

  • Develop a thorough working knowledge of USATF programs, products, policies and procedures with the ability to respond to questions regarding membership, merchandise, and other events and programs
  • Implement numerous aspects of USATF's mobile retail tour, including; full setup of a retail event, packing for or shipping merchandise in support of events, if necessary will be responsible for equipment upgrades and visual merchandising improvements.
  • Effectively assist in administering the daily operations of USATF e-commerce business (fulfillment, returns/exchanges, inventory controls, stocking, and damaged.) in a professional and structured manner.
  • Accurately pick customer orders, pack and ship orders and troubleshoot problems to resolution in a judicious manner. 
  • Assist in problem solving issues regarding stock levels, stock discrepancies, opportunities etc.
  • Maintain inventory for warehouse and vehicles by strategically and proactively updating while meticulously monitoring incoming/outgoing inventories.
  • Provide various logistical supports to USATF departments.
  • Communicate with customer service to clear any discrepancies with customer issues.
  • Assist in developing warehouse design by planning layout, product flow, and product handling systems; evaluating and recommending new equipment.
  • Assist with merchandise marketing efforts including; social media, email marketing, and retail marketing
  • Assist in developing warehouse operations system improvements by analyzing process work flow, manning and space requirements, and equipment layout; implementing changes.
  • Other duties as assigned.

QUALIFICATIONS:

  • Bachelor's degree in Business, Marketing, Sports Management, or related field.
  • Retail and/or vendor sales experience, including knowledge of the sports or fitness industries preferred
  • Ability to manage complex schedules, prioritize workloads and handle multiple projects with limited direction or supervision.
  • Demonstrated initiative and the ability to adapt to and embrace change.
  • Excellent organizational, problem-solving, and customer service skills.
  • Ability to network, utilize resources, and exercise a high degree of professionalism.
  • Strong team player and ability to work cooperatively with others.
  • Effective verbal and written communication skills.
  • Ability to write clear, concise reports and e-mail correspondence. 
  • Ability to drive for long periods of time and lift heavy objects weighing up to 50-60 lbs.
  • Possess a valid driver’s license for at least 2 years.
  • Desire and ability to drive/travel extensively 
  • Must be able to pass a background check

PHYSICAL DEMANDS: 

  • Ability to lift and carry up to 50 pounds.

NON-PHYSICAL DEMANDS: 

  • Travel at least 15 to 20 times per year (including weekend travel). 
  • Must be willing to work evening and weekend hours at events
