USMS is the premier resource for adult aquatic fitness in the United States and will make fitness through swimming available for as many adults as possible. Founded in 1970, USMS is a membership-operated national governing body that promotes health, wellness, fitness, and competition for adults through swimming. We do so by partnering with more than 1,500 adult swim programs across the country that offer a USMS licensed Masters Swimming program; educating and certifying coaches and instructors that are teaching adults; promoting information via the bimonthly member magazine, SWIMMER, monthly e-newsletters, STREAMLINES, and website, usms.org; and by sanctioning and promoting pool, open water, and virtual events and competitions. More than 65,000 adults are registered members of USMS.

SUMMARY: 

 The Coordinator, Membership will be responsible for executing strategies and communication to provide positive front line customer service for USMS’s stakeholders to include members, volunteers, coaches and event directors.  This position will also support Membership and Marketing initiatives to grow USMS membership through participation in USMS programs and event and benefits delivered directly from the National Office. The Coordinator, Membership Services will provide insights and recommendations based on demographic, participation and other pertinent data available through USMS systems (registration, event registration, outside event registration partners, etc.) and will liaise with USMS insurance provider and USMS programs for all insurance related issues and documentation.

ESSENTIAL FUNCTIONS:

  • Support the development and execution of organizational membership renewal and acquisition campaigns.
  • Provide customer service and answer general member questions and develop proactive communication strategies.
  • Work closely with Sr. Director, Membership Services and Acquisition to modernize USMS customer service, engagement, benefits and communications with a focus on attracting and retaining members in a manner that is scalable and sustainable.
  • Proactively identify issues and opportunities and recommend improvements in process (both technical and procedural) to improve USMS membership experience.
  • Provide timely and accurate communication with members and volunteers including, but not limited to, membership and volunteer information changes and updates.
  • Work closely with membership and operations department staff on all key organizational initiatives. Support volunteer services efforts as needed.
  • Provide the member mailing and e-mail lists for SWIMMER magazine and Streamlines eNewsletters.
  • Manage customer service in coordination with online registration partner for Championship Events including pool, postal and open water.
  • Primary contact with insurance provider to facilitate certificates of insurance for clubs and event and facilitate member’s insurance claims processing.
  • Take an aggressive approach to developing, monitoring and regularly reporting on key metrics related to membership engagement and participation. Provide insights and recommendations to USMS Leadership.
  • Provide support to various volunteer committees and task forces as needed .
  • Other duties as assigned.

REQUIREMENTS

  • Minimum (3) three years of experience in customer/membership services.
  • Experience in data analytics and volunteer services a plus.
  • Proven ability to manage a broad range of business functions and personnel.
  • Prior National Governing Body, swimming and/or fitness industry experience a plus. 
  • Ability to bring multiple projects to completion congruently in a fast-paced environment.
  • Must be able to maintain confidentiality of all corporate, personnel and research matters.
  • Excellent interpersonal skills.  The ability to interact effectively and in a professional, diplomatic, and mature manner with internal and external stakeholders.
  • Attention to detail, dependability and adaptability will be critical. 
  • Ability to make clear recommendations and decisions.
  • Must be able to work evenings, weekends and travel as required.
  • Willingness to participate on conference calls outside of traditional business hours.

SUMMARY:  The Coordinator, Volunteer Services provides positive front line customer service for USMS’s stakeholders to include members, volunteers, coaches and event directors.  This position will also provide support in planning and logistics for regular volunteer events to include the annual USMS Convention and will work directly with USMS Local Masters Swimming Committees to foster strong communication and sharing of best practices to support the needs of the membership.  The Coordinator, Volunteer Services will support the execution of Membership and Marketing initiatives to improve annual retention in support of annual goals and the USMS mission and vision.  

ESSENTIAL FUNCTIONS:

  • Provide positive member customer service and respond to incoming questions and issues.
  • Serve as a point of contact for LMSC Registrars and membership issues.
  • Work closely with Sr. Director, Membership Services and Acquisition to modernize USMS customer service, engagement, benefits and communications with a focus efficient engagement and communication with USMS volunteers.  
  • Provide content recommendations for and delivery of the volunteer newsletter STREAMLINES for Volunteers.
  • Responsible for accurate and timely financial reporting, distribution of revenue and invoicing related to the LMSCs.
  • Advise and support the Sr. Director, Membership Services and Acquisition to ensure clear and accurate communication of financial data with LMSCs.
  • Provide training and assistance to key regional volunteer positons for their various responsibilities (e.g. registration, sanctioning, meet results, event calendar, Top 10).
  • Manage LMSC and National Committee contact information and organizational policies and guidelines. Ensure updates are disseminated and available online.
  • Help to identify and encourage motivated volunteers to serve in LMSC and National positions.
  • Identify underperforming volunteer committees and roles and work within the membership department to support those functions and find replacement volunteers.
  • Work with the Zone Committee to ensure proper communication and effective use of volunteers.
  • Encourage all volunteer communication vehicles such as websites, newsletters, etc. have the correct USMS logo and other USMS information and work with the Marketing Department to ensure consistency.
  • Develop and assist volunteers in implementing new ideas to better engage with members of various demographics and interests.
  • Assisting LMSCs with financial compliance with USMS financial policies including assisting in preparation of tax returns if necessary
  • Serve as the USMS liaison to United States Aquatic Sports for planning and logistics related to the USMS Annual Convention.
  • Coordinate, communicate and distribute USMS volunteer convention information.
  • Assist the USMS President annually with committee reviews and committee assignments.
  • Other duties and responsibilities as assigned.
