Department Overview

As a member of the Finance/HR Department, this position’s primary responsibilities cover all day-to-day HR activities, as well as acting as the first point of contact for new U.S. Soccer employees. The HR Intern will support HR projects, programs and policies.

Primary Duties

Recruiting

  • Post and maintain job descriptions for available opportunities
  • Reply to telephone and email inquiries about open jobs
  • Conduct initial screening of applicants and partner with hiring managers on staffing needs

Onboarding

  • Support employee onboarding and orientation, including Soccer House Tour
  • Train new employees on U.S. Soccer resources, including Paylocity and Chrome River
  • Draft introductory announcements for new staff
  • Work with IT to facilitate deployment of new employee equipment

Office Management

  • Manage company-wide office and shipping supplies
  • Create communications relating to staffing, workplace notices and other administrative matters
  • Process billings for all organizational shipping expenses
  • Other administrative duties as assigned

Minimum Qualifications

  • High school diploma or GED
  • Bachelor’s Degree in Business Management or Human Resources, or pursuing a Bachelor’s degree preferred  
  • 1-2 years of relevant work experience
  • Strong written and verbal communication skills

Overview

The Referee Department Intern will report to the Referee Program Coordinator and is based at U.S. Soccer’s headquarters in Chicago, Ill.  The core function of the position is to facilitate the day-to-day duties of working with the Game Officials and Sales Force platforms. The intern will answer requests from the general department email account. This is an unpaid internship. However, college students may use this internship for course credit.

Primary Duties

  • Review current teams in Game Officials from various leagues to determine if they are still affiliated.
  • Review playing locations and teams in Game Officials for duplicate identities.
  • Responsible for answering email sent to the general department email account: referee@ussoccer.org
  • Check registration packets of National level officials, assessors, and instructors and make sure they have met all requirements before sending.
  • Obtain correct addresses for returned registration packets.
  • Merge Salesforce duplicate accounts.
  • Complete and send out Certificate of Insurance requests.
  • Assist with other duties as assigned

Summer Internship 2017 - USA Track and Field (Indianapolis, IN)

USA Track and Field’s national office, located in Indianapolis, Indiana, has multiple internship opportunities for the summer of 2017. USA Track & Field (USATF) is the National Governing Body for track and field, long-distance running and race walking in the United States. USATF encompasses the world's oldest organized sports, the most-watched events of Olympic broadcasts, the #1 high school and junior high school participatory sport and more than 30 million adult runners in the United States. 

Mission statement: USA Track & Field drives competitive excellence and popular engagement in our sport.

USATF’s internship program stresses flexibility – the start and end dates for each intern is between May and August, but may be tailored to individual schedules. All internships are a minimum of 10 weeks and a maximum of 12 weeks, unless other arrangements are made. The candidates will need to relocate to the Indianapolis area during this time frame. You will have the choice to receive a monthly parking pass for a parking facility near our downtown office, and will be responsible for your own housing.  All internships with USA Track & Field are based in Indianapolis, Indiana.  Please submit all applications through our online process only. 1. Community Relations and Run, Jump, Throw (1 position)

• Assist in execution of local/ national community events

• Assist in administrative work and research surrounding community events

• Identify new opportunities for USATF Elite Athletes and USATF Alumni Association to give back to communities

• Reach out to local organizations to encourage support in USATF Community Outreach events

• Setup and teardown of various events

• Must be a self-starter, have good time management and follow through skills

2. Business Affairs (1 position)

• Assist athletes with eligibility requests

• Assist legal department with department duties

• Prepare educational materials for Athlete Representatives

• Organization of legal/business affairs department

• Attend meetings with internal departments at USATF

• Update webpages as necessary

3. Communications (2 positions)

• Compile and send daily clips to office

• Assist with social media content

• Update athlete bios and create new bios

• Manage youth media opportunities for summer events and hometown media outreach

• Write at least 5 feature stories

• Manage Athlete of the Week (nomination and voting process, interview, write, publish and send story)

• Provide event coverage as assigned; game stories, previews, interviews, features

4. Constituent Services (1 position)

• Work on strategic programs geared to build membership

• Raise awareness of USATF by assisting at events across the country

• Assist in planning the Association Workshop and 2017 USATF Annual Meeting

• Conduct special project geared toward interns' interest.  Past projects have included producing webinar tutorials, conducting NGB benefits research, restructuring Association Grants program, planning USATF Association Rookie Workshop and launching the USATF Honor Roll program

5. Entertainment Properties (1 position)

• Looking for responsible individual who has a serious interest in video production and broadcasting

• Must have previous experience working with studio equipment including video cameras, audio and lighting

• Must be able to produce quality work in Adobe Premiere, Adobe After Effects and Photoshop

• Assist in execution of event needs; including, but not limited to, setting up athlete interviews, filming B-roll and providing  necessary help with live broadcasts. (travel may be required)

• Assist in creating video content for USATF.TV (web shows, promotions, spotlights, etc.)

• Create video content and animations for social media platforms to promote USATF programs

6. Events (2 positions)

• Attend teleconferences with local organizing committees (LOC) of the Championships to prepare for events

• Assist with Championship webpage updates/build-out

• Monitor Championship registrations (quality standards, memberships, affiliations)

• Assist with design approvals/ordering/shipping of Championships needs (bibs, medals, plaques, registration t-shirts, implements, etc.)

• Create spreadsheets for various needs (budget, hotels, signage, medals, credentials, prize money)

• On-site set-up prior to Championships: (signage, awards stage, tents, tables, etc.)

• Possible on-site roles during Championships: assist with award presentations, packet pick-up, monitor/adjust setups and flow of operations as necessary

• Other duties as assigned

7. Customer Service (1 position)

• The Customer Service intern must be outgoing in nature and enthusiastic to assist our various constituents who range from Individual Members, Club Members, Parents, Fans, Event Organizers, Coaches, Officials, local USATF Associations and internal departments.  The work environment is fast paced, high energy and deadline driven

• Answer daily constituent emails on the topics described above

• Answer daily USATF constituent telephone inquiries on various topics such as Individual Membership, Club Membership, Sanctions, benefits, merchandise orders and upcoming events

• Perform various membership tasks within USATF system as they relate to date of birth verifications, membership association transfers, member password requests and SafeSport course completion updates

• Process USATF merchandise returns on a daily basis

• Assist with special projects on an as needed basis

8.  High Performance/Coaching Education (1 position)

• Assist the HP Department in tracking and monitoring elite and emerging elite performances including current times, eligibility status and personal bests

• Work with various members of the HP Department in event, development, sport science & sports medicine programs

• Assist with packet pick-up, coaches' hospitality and meet management at USATF Outdoor and Junior National Championships

• Manage the Minority Female Coaching Education Scholarship

• Assist in management of the USATF Level 2 Coaching Education School

• Assist Coaching Education Coordinator with the management of Coaching Education Level 1 schools

9. International Teams (1 positon)

• Maintaining and restocking inventory

• Packing for international teams

• Coordinate medical tables and medical supplies for medical staff on all national teams

• Coordinate USATF paperwork (uniform sizing, code of conduct, medical release, and statement of conditions)

• Help upload info to Edge 10

• Assist in the planning of our athlete education program and development of athlete lounges

10. Legal (1 position)

• Contractual drafting and review

• Assist with governance inquiries

• Work with committees that the legal department liaises with (e.g. Law and Legislation, NABR, Ethics Committee), and participate on conference calls when necessary

• Monitor and track intellectual property issues

• Prepare contract execution forms for CEO to sign

• Update webpages, policies (e.g. ADA), and contract management system

• Prepare contract summaries

• Assist with Athlete Representative program

• Attend meetings with all departments internally at USATF and monitor legal issues and needs

11. Marketing (1 position)

• Ad hoc projects

• Assist in the development of detailed marketing plans for USATF championships & programs: collateral production, social media, grassroots promotions

• Assist in building databases

• Coordinate with internal departments to respond quickly to sponsor needs, requests and problems

• Assist with the execution of sponsor promotions

• Coordinate team efforts with other departments to implement marketing ideas/tasks

12. Merchandise (2 positions)

• Travel to select events throughout the summer, including but not limited to; the Junior and Outdoor Track & Field Championships in Sacrament, CA; USATF National Junior Olympic Track & Field Championships; and USATF Hershey Youth Outdoor Championships

• Assist with the planning and implementation of Merchandise Marketing plans, both at events, which involves the design and layout of the on-site USATF Merchandise Store, and on the online store which includes creating email blasts and social media content, launching new product and executing various promotions

• Contribute to the merchandise buying and forecasting process by analyzing sales numbers, historical consumer purchasing habits at retail and e-commerce and current trends in sportswear

• Assist with analyzing overall department efficiency to make improvements on day to day operations of the merchandise department

• Provide excellent customer service through direct interactions at events, online store order fulfillment and managing issues as they arise quickly and effectively

• Support the department in various daily and weekly tasks, including tagging and inventorying product, packing and unpacking from events, and processing and fulfilling online store orders

13. Youth (2 positions)

• Help management prepare and execute youth national championships

• Utilize Youth membership databases to assist with youth related inquiries

• Facilitate date of birth verifications

• Coordinate shipping operations for Youth Department

• Help promote and execute USATF Future Stars initiative

• Coordinate signage at the USATF warehouse

14. Information Technology (1 positions)

• Support staff with desktop/printer issues and setup (PC's and Mac environment)

• Assist in the administrative and updating of Active Directory

• Assist in the setup and tracking of an asset management system

• Assist in the documentation of policies and procedures

• Must have excellent technical troubleshooting skills

15. Sanction Program (Insurance) (1 position)

• Assist in coordinating the implementation of the USATF sanction program, which sanctions approximately 8,000 events per year

• Work closely with the Sanction Coordinator to prepare, review and approve the daily upload of USATF sanctioned events

• Communicate and provide customer service to USATF members and event organizers

• Contact various USATF Associations and provide sanctions assistance where necessary

• Assist in the marketing and distribution of sanction program updates and benefits to various constituents

• Develop educational tools for both USATF Associations and event organizers 

• Identify and target key running markets for sanctions program

• Review and update online documentation in connection with sanctions program

• Review events calendar on the USATF website and make edits where necessary

16. Graphic Design (1 position)

• Support the Brand Manager in the daily duties of managing creative brief requests

• Individual willing to work closely with multiple departments to understand creative needs for a variety of projects

• Knowledge of preparing files for print and saving files for the web

• Photo editing

• Assist with maintaining & monitoring the brand of USATF internally and externally

• Candidate must be proficient with Adobe Creative Suite; Photoshop, InDesign, Illustrator
