U.S. Masters Swimming (USMS) is a recognized NGB by FINA, the global governing body for aquatics. Our mission is to promote health, fitness, wellness and competition through aquatics. We do this by partnering with more than 1,000 local facilities such as YMCAs, universities, and community pools to offer adult swimming programs. We sanction more than 500 swim meets, open water events, clinics, and fitness type programs. We are a self governed registered 501(c)3 non-profit corporation. Membership is our primary source of revenue. In 2009 we grew membership 11% and topped 50,000 members for the first time. U.S. Masters Swimming is evolving from an all volunteer operated organization to one that has a professional staff to implement our strategic plan. The Controller plays a significant role in the operation of USMS. The position is responsible for operation of the corporate financial aspects of the organization. The position will work directly with the Executive Director and be responsible for preparing all financial information, making recommendations and carrying out Controller responsibilities that best serve the organization. This position will be located in company headquarters in Sarasota.
Compensation
Base salary of $65,000 - $75,000 depending on experience. Also includes employee benefits such as retirement, medical, life, dental, vacation and holiday time off.
Reports
This position reports directly to the Executive Director and will provide assistance and information to the Treasurer and Board President as requested.
Controller Responsibilities
Maintain financial records of USMS, including its General Ledger, Accounts Payable, Accounts Receivable, Inventories, Fixed Assets, Prepaid items, Accruals, Payroll Journal, in accordance with Generally Accepted Accounting Principles
Record requests for disbursements that have been approved by the authorized persons and documented by appropriate invoices and/or receipts
Record all cash receipt transactions as a result of USMS operations receiving cash or checks. Maintain separate analyses of registration receipts
Record revenue received via the Merchant Account. Maintain separate account analyses to ensure revenue is passed through to the appropriate 3rd parties (example: national championships and Local Masters Swimming Committees)
Record USMS petty cash activity
Initiate check generation for Treasurer signature; provide Executive Director with a listing of payments to be made for the week
Reconcile monthly the USMS bank statements
Prepare and submit monthly financial statements with detailed analysis and commentary to the Executive Director and Board of Directors
Compile and review the annual/quarterly budgets from cost center heads
Prepare quarterly USMS financial reports with analysis and commentary detailing revenue and expenditures, projections, and year over year comparisons to the Executive Director and Board of Directors
Prepare various analyses on a monthly basis (examples: sponsor revenue, SWIMMER Magazine activity, cash flow projections, national championships transactions)
Coordinate, gather information, and prepare the annual budget
Perform financial analyses as requested by the Executive Director
Provided detailed information towards the preparation of USMS’s tax returns which are prepared by the outside auditors
Provide financial statements, source documents, analyses, descriptions, flow charts, and other documentation requested by the external auditors as part of the audit and review. Coordinate requests for audit information as needed with Executive Director, Legal Counsel and Treasurer
Record all Foundation transactions
Assist in development of new processes and procedures affecting cash flow and financial reporting (examples: merchant account implementation, membership registration, accounting for SWIMMER Magazine transactions)
Manage other administrative office functions such as the cleaning service and lease with landlord
Attend our annual Convention and other Board functions as deemed necessary to provide review, finalization and presentation of the budget
Human Resources Responsibilities
Submit monthly payroll information to the Executive Director for review and submission to outside payroll processor. Review and record the monthly payroll transactions received from the outside processor
Manage all accounting associated with employee benefits program: determine payroll deductions, if needed, for health, dental life benefits; SIMPLE IRA: calculate withholdings & employer match, submit information to Vanguard for EFT funds transfer with copies of the retirement transfers to the Vanguard Trustee for approval
Manage employee benefits including annual cost/benefit review and recommendation
Manage and track employee vacation benefits
Assist the Executive Director in keeping current the employee handbook
Other services as requested by Executive Director
Summary of Qualifications
a minimum seven years experience in accounting and/or corporate finance;
a preference for a CPA;
a preference for non-profit accounting experience and familiarity with SFAS 116 & 117;
must be fluent in accounting software programs such as Quickbooks and Excel;
ability to multi-task in a fast paced environment;
excellent interpersonal and communication skills;
ability to make presentations to the board of directors;
ability to make clear recommendations and decisions when necessary;
willingness to travel as necessary to perform responsibilities;
desire to take continuing education classes as necessary to perform responsibilities;
understanding of applicable financial and human resources non-profit laws and regulations;
commitment to the mission of U.S. Masters Swimming;
a degree from a respected college or university required.
