Youth Tournament Assistant - IBC Youth (Arlington, TX)

IBC Youth Bowling Inc. is a joint effort by the Bowling Proprietors’ Association of America and Untied States Bowling Congress to move our game, our sport, and activity forward. We are the largest organization serving youth bowling, as well as the National Governing Body for the Sport as recognized by the US Olympic Committee.

IBC Youth is seeking a talented Youth Tournament Assistant to join the team. This qualified individual will support the Youth Tournament Manager and Director of Youth Development with administrative tasks. The Youth Tournament Assistant will serve as the initial point of contact for any questions regarding Junior Gold, tournaments, and other youth programs.

DUTIES AND RESPONSIBILITIES

  • The duties and responsibilities include, but are not limited to the following:
  • Process memberships applications (Youth Standard and Junior Gold)
  • Process tournaments and league applications and entries
  • Serve as point of contact for questions relating to Junior Gold, league, and tournament applications via email, phone, and fax
  • Assist athletes or guardians in resolving payment issues
  • Post event reports and email
  • Complete various weekly and monthly reports
  • Process daily deposits and submit weekly deposits to Finance
  • Prepare email confirmations and packets for tournaments and league registrations
  • Assist in tournament staffing preparations
  • Verify averages and Youth memberships for all participants

QUALIFICATIONS

  • Associate degree in Business Administration or equivalent job experience required
  • 2 years of general office experience
  • Professional phone and written communications skills
  • Intermediate proficiency with Windows software. Outlook and Microsoft Suite (Word, Excel, Access, and Power Point) required (advanced preferred).
  • Knowledge of copy and fax machines as well as internet required
  • Must pass USBC Registered Volunteer Program background screen as a condition of employment and continued employment, to ensure appropriate protection is given to youth involved in our programs.

PHYSICAL DEMANDS

  • Ability to sit and work at a computer for extended periods of time
  • Ability to stand and walk during tournaments for extended periods of time
  • Ability to lift up to 30 lbs. in preparing shipment and assisting on-site set ups required

Department Overview

The Video Manager manages all of U.S. Soccer’s development of production methods within the video department, including pre-production, production and post-production. This position oversees the day-to-day workflow and management of video production, manages video staff, sets the overall video approach and style, and serves as the point of contact for all video content for each department within the organization. The position will drive the creation of quality video content that will be distributed on ussoccer.com, mobile apps, social media networks and other platforms to drive and increase usage, engagement and retention.

Primary Duties

  • Contributes heavily to the development of production methods within the department:
    • Pre-Production: Planning, Organizing Shoots, Researching Equipment, Laying out Detailed Methods and Approaches
    • Production: On-site Management of Personnel and of Process
    • Post-Production: Executing, Distributing Work Amongst the Department, Moving Pieces from post to export and distribution, technical/creative review and approval
  • Point of contact for video content within the organizations and other departments
  • Point of contact for content videographers and freelancers (editors, shooters, etc.)
  • Manages Video Department hiring process
  • Liaises with other departments to plan out production needs and goals
  • Oversee day to day workflow and management of video production team
  • Stays up to date with current industry standards of video production equipment and evaluates and determines if something would be a valuable asset to the department.
  • Point of contact for Keycode Media, U.S. Soccer’s digital infrastructure vendor
  • Pushes the stylistic sensibility of U.S. Soccer video forward in a meaningful way
  • Develops and implements new techniques to keep U.S. Soccer video content contemporary
  • Evaluates existing methods and style choices and determines whether or not they are viable and worth continuing
  • Leads creative approach, brining new content ideas and methods forward to improve production

Minimum Qualifications

  • Bachelor’s degree, preferably in a content production field
  • 4-5 years of experience in content production and creation
  • 3-5 years of management experience
  • Ability to manage staff and lead overall content team to achieve goals
  • Project management skills to oversee video schedules and deadlines of varying lengths
  • Passion for new technology and ability to determine ways to incorporate into projects
  • Strong verbal and interpersonal communication skills
  • Expertise in best practices for video shooting and editing
  • Specific knowledge of soccer is a plus but not a requirement; more important is the knowledge and ability to adapt to the environment surrounding a high-level professional sports team
  • Quick learner who can function well in fast-paced, team-oriented environment
  • Full-time position, minimum 40 hour work week with travel required

Job Description

The Director, Human Resources (HR) is a leadership position with responsibility for overseeing USA Volleyball (USAV) personnel policies, including recruitment, selection, benefits, compensation, training, retention, and development as well as diversity and inclusion.  Additionally, this position supports SafeSport operations and efforts in matters related to youth and athlete protection issues.  The position reports to the Chief Operating Officer, and is based in Colorado Springs.  Moderate travel to satellite offices (Anaheim CA, Torrance CA, and Edmond OK) is expected. Extended hours may be required to include nights, weekends and holidays.  This position supervises two full-time exempt positons to include the Coordinator, Human Resources and Coordinator, SafeSport.

Summary of Duties and Responsibilities include but are not necessarily limited to:

  • Serve as an active member of the Senior Management Team.

  • Supervise the Coordinator, Human Resources and oversee the administration of benefit programs.

  • Supervise the SafeSport Coordinator and assist in the facilitation of all matters regarding SafeSport initiatives, operations and procedures.

  • Ensures HR legal requirements and government reporting regulations are followed.

  • Oversight of litigation, unemployment, worker’s compensation, and EEOC issues and practices.

  • Lead diversity and inclusion efforts to enhance organizational performance.

  • Develop and oversee the administration of personnel policies and procedures and is responsible for preparing and updating employee handbook.

  • Proactively manage employee relations including consulting, coaching, outplacement counseling, interventions, investigations, performance management, and progressive discipline as appropriate.

  • Identifies legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.

  • Conduct compensation, benefits or leave studies and assist in the development of policies and plan design changes.  Design and implement programs and policies for base pay and incentives.  Administers policies and programs covering wage and salary compensation program. 

  • Oversees the recruitment and selection process including new employee orientation.

  • Development and oversight of USAV’s succession plan and employee educational opportunities.

  • Administer various human resource and leadership plans and procedures for all personnel.

  • Responsible for benefit operations and management of leave programs.

  • Administer the annual employee performance review process, including mid-year performance reviews and the calibration process.

  • Manages the safety and security programs

  • Oversee intern program, ensuring interns receive necessary job skills and feedback on talent assessment.

  • Work with legal counsel as necessary to support HR and SafeSport issues.

  • Responsible for department budget and strategic plan, goals & objectives.

  • Serve as an active member of USAV’s retirement plan committee.

  • Other duties and projects as assigned.

     

    Desired Qualifications

  • Minimum bachelor’s degree in HR or related field.

  • Minimum seven (7) years progressive HR experience.

  • HR generalist experience is preferred.

  • HRCI or SHRM Certification (PHR, SPHR, SHRM-CP, SHRM-SCP) is preferred.

  • Experience conducting workplace investigations is desired.

  • Prefer candidates with professional HR experience in Colorado and/or California.

  • Ability to lead multiple departments and prioritize competing demands of constituents.

  • Must be able to successfully pass a USAV background screening.

    Minimum Starting Salary:

    $62,100 - Commensurate with experience

Job Description

The Coordinator SafeSport is a regular full-time exempt position reporting to the Director, Human Resources.  This position’s primary role is to support Regions and Staff regarding SafeSport matters to include the coordination and distribution of education materials, assist with complaint and adjudication procedures and raise the platform of SafeSport.  Moderate travel may be required to USAV offices and Regions. Extended hours may be required to include nights, weekends and holidays.

Summary of Duties and Responsibilities include but are not necessarily limited to:

  • Serve as USA Volleyball’s primary liaison with the USOC, other NGB’s, youth organizations, professional organizations and others in all matters related to youth and athlete protection issues.

  • Keep supervisor and management apprised of all important issues related to USA Volleyball’s athlete protection efforts.

    • Schedule and meet with USAV Senior Leadership regarding National issues.

  • Serve as staff liaison to the RVAA SafeSport Working Group, soliciting feedback and brainstorming on issues that affect the RVAA.

  • Monitor all relevant subject matter, societal trends and industry best practices and determine how best to apply to USA Volleyball. Maintain current with any appropriate licenses and continuing educational opportunities.

  • Maintain communications and manage relationships with relevant service providers, including but not limited to: help-lines; counseling services; educational program provides; websites; etc.

  • Oversee through execution and coordination over the complaint reporting and management of adjudication process.

  • Be the initial and primary point of contact for all complaints and related questions related to abuse and misconduct.

  • Receive and acknowledge all complaints, in a timely manner, that come through USAV National SafeSport hotline and email.

  • Coordinate the administrative and legal process for all complaints.

    • Consult with supervisor, senior director, or legal counsel as appropriate to determine how cases should be handled. 

    • Assist and advise Regions as to  what steps to take in adjudication process.

    • Discuss and strategize approach for SafeSport claims which may include discussion with legal counsel.

  • Provide communication, in a timely manner, to all relevant parties on progress and status of complaints, investigation, hearing procedures, appeals and final resolutions.

    • Contact involved parties with status reports.

    • Maintain records on all cases logging investigation information, activities and status of cases.

  • Ensure that there is an effective tracking system and provide updates and status reports as appropriate to supervisor and or senior director.

    • Communicate needed updates to Senior Leadership.

  • Coordinate, produce and oversee the implementation of effective educational programs for all member athletes, their parents, coaches and clubs.

  • Continually monitor relevant subject matter, identify issues and trends, and keep USA Volleyball National and Regional leadership informed.

  • Disseminate information through USAV blogs, newsletters, etc.

  • Serve as an informational resource for Regions and clubs, including helping to identify and connect them with local educational partners and resources.

  • Work with Region to incorporate athlete protections education components into their programs and services.

  • Advise and assist on a region-by-region basis.

  • Plan and bring educational opportunities to the annual USA Volleyball meeting and identify and work with others to raise awareness and advance educational efforts.

  • Other duties and projects as assigned.

     

    Minimum Qualifications

  • Bachelor degree in Legal Studies, Social Services, Law Enforcement, related degree or equivalent work experience.

  • Minimum of three years working in the following disciplines: Social Services, Child Protective Services, Law Enforcement, Para legal, other related field.

  • Possess excellent customer service to staff and 40 Regions.

  • Working experience providing customer services skills to diverse constituent group.

  • Possess excellent written, verbal and organizational skills with attention to detail.

  • Must be able to successfully pass a USAV background screening.

     

    Desired Qualification

  • Working knowledge of USOC SafeSport programs is a plus.

     

    Minimum Starting Salary:

    $ 38,500 - Commensurate with experience
